Seller Side


In Contract:

  • Handle all documents securely and confidentially
  • Keep everyone informed of important updates and information
  • Communicate with all parties related to the transaction, effectively and in a timely manner, to ensure meeting deadlines and providing for a smooth transaction
  • Communicate via a text thread with with Client and Agent to keep all informed
  • Introduction email will be sent providing deadlines, along with a copy of the executed contract to Agents, Clients, Lender, and Title Company
  • Ensure all documents are fully executed with proper dates, initials, signatures, and broker info
  • Reach out for document corrections, as necessary, and monitor compliance with the contract
  • Send documents to all parties related and necessary to the transaction
  • Keep an accurate record of timelines and deadlines, as well as keeping all Parties informed of these timelines and deadlines throughout the transaction
  • Submit all requires 'under contract' documents to Broker's company compliance dept within 48 hours
  • Set up a file through our Transaction Management System (A-Frame) to aid in keeping all parties in the loop
  • Draft any addenda needed along the way and keep a record of them on file and ensure they are shared with relevant parties
  • Make RMLS Pending
  • Open Escrow (email intro to all parties)
  • Send Disclosures to Buyer's Agent
  • Collect HOA documents in accordance with deadlines and email to Buyer Agent
  • Order Home Warranty per contract
  • Follow-up on Earnest Money and signed Disclosures
  • Check-in periodically with Lender regarding appraisal status and CD timing
  • Create Broker Demand and send to Title
  • Conduct a final audit of the file 7 days prior to closing (and day of close) to ensure all documents are uploaded and the file is complete
  • Upload all disclosures, documents, and reports into Agent's online transaction management service as they are received or fully executed throughout the transaction
  • Provide 24/7 access to transaction coordinator's management system (A-Frame) service to Agent and Clients for easy access to updates on Portals
  • Review Estimate Settlement Statement
  • Confirm closing signing date and time have been set up with the Seller and Buyer in a timely manner
  • Send out Closing Congrats email to client to thanks them at closing
  • Make RMLS Sold
  • Order sign post removal



Buyer Side

  • Ensure all documents are fully executed with proper dates, initials, signatures, and broker info
  • Reach out for document corrections, as necessary, and monitor compliance with the contract
  • Send documents to all parties related and necessary to the transaction
  • Keep an accurate record of timelines and deadlines, as well as keeping all Parties informed of these timelines and deadlines throughout the transaction
  • Set up a file through our Transaction Management System (A-Frame) to aid in keeping all parties in the loop

  • Fill out Timeline to send out with intro emails
  • Remind the Buyer to wire Earnest Money as necessary
  • Submit all required ‘under contract’ documents to your company’s Compliance Dept within 48 hours of execution
  • Receive disclosures and gather signatures
  • Ensure the Lender, Title Company, and Agents receive any amendments or changes to the contract
  • Update deadlines from amended extensions
  • Receive HOA documents in accordance with deadlines and email to Buyer
  • Order Home Warranty per contract
  • Receive Earnest Money receipt and email to Client, along with submitting to compliance
  • Alert Client and Agent of any red flags
  • Confirm appraisal status throughout transaction with Lender
  • Ensure the represented Client is provided a copy of all documents at close
  • Upload all disclosures, documents, and reports into Agent's online transaction management service as they are received or fully executed throughout the transaction
  • Provide 24/7 access to transaction coordinator's management system (A-Frame) service to Agent and Clients for easy access to updates on Portals
  • Send client a Closing Approaching email to remind to transfer utilities
  • Review Estimate Settlement Statement
  • Confirm closing signing date has been set up with client
  • Create Broker Demand and send to Title. Upload to Compliance
  • Confirm final recording and alert Agent
  • Send client a closing Congrats email
  • Receive and upload Final Closing Statement to compliance



*Paid at closing according to TC Support Service Agreement.


*Transaction Coordination begins from the time of mutual acceptance of contract and continues until the transaction is closed.


*In the event of a termination there shall be no payment due to Well Coordinated LLC.



Pre-Listing Services


  • Complete listing file creation in Agent's preferred compliance software
  • Create profile in A-Frame software
  • Fill out listing documents and send to Client along with any required disclosures for signatures
  • Order Preliminary Title and Property Trio from Title Company
  • Add listing info into MLS (Agent fills out private/public remarks)
  • Input listing into the MLS (incomplete)
  • Assign lockbox to MLS listing
  • Add photos to MLS
  • Listing Agent edit or approve MLS input before going live
  • Add required documents to the MLS listing such as legal description, disclosures, inspections
  • Make MLS Active
  • Order 'For Sale' sign post installation
  • Add all listing documents, disclosures and any other required documents to broker’s online compliance management software ensuring file is complete
  • Retrieve HOA Documents from Seller or management company


Agent Expectations During Transaction:

  • Install lockboxes
  • Coordinate showings
  • Attend appointments and inspections
  • Review Escrow Instructions and settlement statements
  • Review Preliminary Title Reports
  • Review HOA Documents
  • Negotiate and track repairs, and/or any changes in Contract
  • Communication with all parties
  • Provide exact wording on any addendum
  • Review Estimate Closing Statement
